Cvent: Deleting a Media File

Steps to delete a media file from the Cvent library.

Usage

We encourage Chapter Managers to regularly perform this process to keep only the files in use. The library should not be used as a storage center, and once an event has passed, it is not necessary to keep the media files in your chapter folder. Having many files in the library slows down the experience for all of us when using Cvent.

Steps

Access the Media Library

1. Begin by clicking the "Book" icon in the left navigation menu to go to the Media Library.

Folder Navigation

2. Click to open the folder. Double-click the folder that contains your media. You can also use the “Search my files” option to type keywords and locate your chapter folder or the files you need

Deleting folders and images

3. Delete empty folders or individual images by clicking the “Select items” icon, selecting the folder(s) or image(s) you want to delete, and then clicking “Delete” at the top. You can select multiple empty folders or files to delete in one action. Click “Delete” to confirm.

Note that only empty folders can be deleted. Folders containing images cannot be deleted – all images must be deleted first to delete a folder

Best Practices

  • You must delete old images periodically, preferably quarterly, at least once per six months

  • Only use the designed folder for your chapter

  • If a chapter does not have a folder, please contact your CRCM for support via [email protected]

  • Chapter Managers should not create new folders. They may only create subfolders within their main chapter folder

  • Please avoid editing your folder name

  • Additional folders or folders with different names other than the chapter name will be deleted causing the images of your events to be broken
