Cvent: Adding files to Cvent Media Library

Steps to add images like backgrounds, hero images, banners etc to your Cvent event's media library.

Usage

Apply these steps to add new images to your event's media library in Cvent. The library should not be used as a storage center, and once an event has passed, it is not necessary to keep the media files in your chapter folder. Having many files in the library slows down the experience for all of us when using Cvent. Additional folders or folders with different names other than the chapter name will be deleted causing the images of your events to be broken. Note: Accepted formats: GIF, JPG, PNG. Size: 2MB or less per file

Steps

1. Access the Media Library. Begin by clicking the icon in the left navigation menu

2. Locate your chapter’s folder or use the search box. Click your folder to access it, then click the “Upload Files” icon at the top.

  • Locate and select a media file from your local or network drive,
    or drag and drop your files.

A new window will appear. Your folder will already be pre-selected, so there’s no need to search for it again, simply click “Upload to folder.”

Things to remember

  • Chapter Managers should not create new folders; they may only create subfolders within their main chapter folder

  • Please avoid editing your folder name

  • Only use the designed folder for your chapter

  • Ensure the images you upload have easily recognizable names

  • You must delete old images periodically, preferably quarterly, at least once per six months

  • If you have a chapter assistant who can access Cvent, consolidate all chapter images into one shared folder

  • If a chapter does not have a folder, please contact your CRCM for support via [email protected]

We do NOT encourage:

  • Uploading images on folders different from your chapter folder

  • Changing your folder name using symbols, numbers or letters to prioritize your chapter

  • Uploading images named with symbols or not recognizable names

  • Using the Media Library as a storage center
