Requirements and guidelines for opening your chapter event to a region

Usage

This article outlines the requirements and guidelines for opening your chapter event to a region. It helps ensure that your event aligns with the necessary requirements.

Important to know

To avoid any delays or issues, it's recommended to request regional access before making the event website active and launching the event. This ensures you can properly test the setup, since testing isn't possible once the event is live.

Once the event is approved, it can take up to 5 business days for the CRCM to finalize the process.


Steps

Access the Chapter Events Portal

Note: The following steps are for when creating a new event and requesting that the event be opened to a region in advance, at the time of creation. If you wish to request an already created event to be opened to a region, please skip to the second part of the article.

1. Log in to the Chapter Events Portal. On the Start Here page, click the Chapter Meeting Request Form button.

Request to Open the Event via MRF

2. While filling out the Meeting Request Form (MRF), make sure to check "Yes" for the question: "Do you want the event open to a region?"

Then, select the correct region host from the dropdown menu.

Submit the MRF

3. Once you've completed the MRF, click Submit. The system will notify your CRCM, who will begin the approval process with the Regional Director of the region you selected to open the event for.

Note: If additional information is needed, either the CRCM or Regional Director will contact you directly.

Set Up Your Event

4. You can continue setting up and customizing your event as usual while the CRCM team handles the approval process behind the scenes.


Request an Existing Chapter Event to be opened to a region

Contact Your CRCM

1. To request that an existing chapter event be opened to a region, email your CRCM at [email protected]

In your email, make sure to include the following information:

  • Event Code

  • Event Name

  • Event Date

  • Intended Audience (e.g., Members, Spouse/Partner, etc.)

  • Breakout Pricing for each audience type

  • Region you’d like the event opened to

Note: This process only applies to events that were not created using the Meeting Request Form (MRF).

Regional Review and Approval

2. Your CRCM will connect with the Regional Director using the information you provided. The Regional Director will review the event details and determine whether the event is approved or denied.

Note: You may be contacted if additional information is needed to complete the review.

If the Request is Denied

3. If the event is not approved to be opened to the region, you will be notified by your CRCM or the Regional Director.

If the Request is Approved

4. If the event is approved, your CRCM will enable SSO (Single Sign-On) and complete the setup to open your event to the selected region.

Please note that once the event is approved, it can take up to 5 business days for the CRCM to finalize the process.


COR Event Guidelines

Only one region per event:

Chapter events approved as COR (Chapter Open to Region) can be opened to just one region.

Setup takes up to 5 business days:

Once your event is approved by the Regional Director (RD), please allow up to five business days for your CRCM to finalize the setup.

Stay responsive during the process:

Your CRCM may reach out if additional information is needed to move forward with the approval or event setup.
Timely communication is essential, if no response is received, the request will be closed and can only be reopened based on CRCM availability.

Region or Network, not both:

COR events can be opened to a region or a Network, but not both at the same time.

Approval is always required:

Every event that will be opened to a region must go through the official approval process.

Who can email the CRCM to request a chapter event to be opened?

You may reach out to the CRCM team at [email protected] only if your event was created before the second week of May 2025.

For events created after this date, the request to open to a region must be submitted through the Meeting Request Form (MRF).

Inviting chapters outside your region:

You may invite one or two chapters outside of the approved region, no more. Adding more would be considered opening the event to an additional region, which is not allowed under YPO policies. To proceed, contact the Chapter Managers of the chapters you'd like to invite and request their approval. Once approved, inform your CRCM, who will include those chapters in your event’s registration list.

Member privacy and data protection:

To protect member privacy and avoid spam, regional invitation lists cannot be added to your general event invitation list.

Event promotion and communication:

Marketing the event is a shared responsibility between the hosting chapter and the approving region.

Regions and Chapters are encouraged to promote the event through their official communication channels, such as newsletters, targeted emails and more.

Interest from members outside the approved region:

If a member from another region expresses interest in attending your event, you can manually register them through the backend and send a payment request using the email payment option.
