Usage
The Hotel Request form collects rooming dates and preferences from your members, and helps to make sure everyone gets your pre-negotiated rates. Follow the steps below to add hotels and rooms to your event, and make them accessible during registration

Adding Hotel options
Enable Cvent's Hotel Request form option
1. From the left-hand navigation, click Travel, then Travel Settings. Select the icon next to Hotel, then set "Registrants can book their hotel through" to Cvent's hotel request form
Delete placeholder Hotel option
2. The Template has a Placeholder Hotel option which MUST be deleted.
From the left-hand navigation, under Travel, click Hotel Accommodations then click on the drop down next to the placeholder hotel option to remove it
Create your Hotel option
3. Click Create Hotel. Select 'A new hotel' under 'Create'. Enter the hotel name and any additional details
Scroll to the Basic Settings section. Ensure Yes is selected next to "Open for registration." Add a cancellation policy

Determine hotel visibility settings
4. Choose if you want to control the hotel visibility by registration type or admission item. From the left-hand navigation, click Travel, then Hotel Accommodations. The Hotels tab opens by default. Click the neighboring tab, Hotel Request Setup. Then click Edit. Select if you want to control the hotel visibility by registration type or admission item, then click Save
Adding Room options
Access the Hotel Details page
1. From the left-hand navigation, click Travel, then Hotel Accommodations. Select your hotel by clicking its name
Create a room type
2. Click Create Room Type. Name the room type and enter the minimum number of nights a member can book for. Ensure "Open for registration" is switched to Yes
Specify whether members will be sharing the room, the number of occupants per room, and how these rates will be charged (a flat nightly fee or different prices for each registration type)
Enter the number of rooms that are available. Add room rates for each registration path if you selected to calculate room rates by registration type
Click Save
Specify Advanced Settings & visibility
3. Click the neighboring tab, Advanced Settings, then Edit. If you've set up room rates, switch "Charge registrants for this hotel room" to Yes. If the room is free, leave this as No. Depending on how you're controlling hotel visibility, select which admission items or registration types you want to associate to this room. If you choose to charge registrants for their rooms, select which admission items or registration types you want to charge and if they are refundable or not
Click Save. If desired, repeat this step to add additional room types
NOTE: If a registrant cancels their hotel request and the room is refundable, they will automatically receive a full refund for the hotel room if they have submitted an online payment
Adding to Registration form
Add the Hotel Registration Page
1. Begin by selecting your event. From the left-hand navigation, click Registration, then Registration Process. Click on Site Designer & then the top left drop down to create a new Hotel Option registration page for the Hotel widget

2. Click Build to the right of the canvas, and scroll down to the Travel section. Drag and drop Hotel Request onto the canvas
Customize the Hotel Request Widget
2. In the Configuration Options section, you'll have the ability to update the text on the widget, including the header, instructional text, the button the member will need to click when they submit their request, and the options to update their request's preferences or delete their request all together.
Click Request Setup to determine who can submit a hotel request, if members are required to submit a request, how many requests they can submit, if they can modify those requests after registration, and more. To return back, click the arrow to in the top-left of the editor.
Click Form Labels to customize the default text that appears during the booking process. To return back, click the arrow in the top-left of the editor.
Determine what information will display on your website, such as hotel name, distance from venue, room availability, room rates, and more, by clicking Display Settings. To return back, click the arrow to in the top-left of the editor.
If you're allowing members to share rooms, click Roommate Settings to set up their options
Once you're done, click Save to preserve the draft, or click Publish to make it visible to invitees
