Cvent: How to create a Newsletter

Learn how to use Cvent’s Email feature to create and send newsletters to your audience

Usage

You can use Cvent’s Email feature to create and distribute newsletters, targeting specific audiences like members or S/Ps of your chapter. Let your creativity lead the way!

Steps

Selecting Newsletter template.

1. Start by filling out the MRF, setting up your event in Cvent, and selecting the “Newsletter” template designed specifically for chapters. Enter your newsletter details, begin by filling in the required fields

Make sure to include:

  • Event Title – Use the newsletter’s topic or headline

  • Locale

  • Planner Name

  • Planner Email

You’re welcome to complete additional fields as needed.

Note: You can use the Event Title as the main account name where all your newsletters will live, especially if you plan to send them monthly or quarterly.
This means you don’t need to create a new event for every newsletter. Instead, you can reuse the same event to manage and send multiple newsletters over time.

Navigate to the Event Emails section

2. Using the left-hand navigation menu in Cvent, go to Email, then select Event Emails.
This is where you’ll manage and create the email content for your newsletter.

Choose a Template or Create from Scratch

3. Focus on the Pre-Event Emails section. You can either select any of the available templates or create a new newsletter from scratch by clicking Create Email.

For this example, we’ll assume you’re using a template. Click the name of Chapter News v.1 to select it as your starting point.

Edit the Basic Information

4. Click Edit to update the basic details of your newsletter. Make the necessary changes and be sure to click Save when you're done.

Note:

  • The Name refers to the name of your newsletter template, which you can customize as you design or edit it.

  • The Subject is the title of your email, this is what your recipients will see, e.g., “Newsletters June 2024.”

Design Your Email

5. Click Design Email to begin creating your newsletter.

Note: The process is similar to designing a website summary page in Cvent. You’ll use sections and widgets to structure your content as needed.

Set Up the Invitation list

6. Navigate to Emails and click on Invitation List. Adding an invitation list works the same way as adding an invitation list for your event.
Click on Invitation List (in blue text within the square box) to begin.

Add Contacts to the Invitation List

7. Click on List Members and select the filter option “Add Contacts from Address Book.” To quickly find your chapter name, hover over All Contact Groups. While the dropdown is open, press Ctrl + F (or Command + F on a Mac) to search for your chapter name without moving your cursor.

Note: The chapter members are included in the contact group with your chapter name. Spouses and Partners are included in the contact group named Spouse/Partner + chapter name. You can only add one contact group at a time, you will need to repeat the process to add S/P or the Gold members in case your chapter is not integrated.

Tip: Use Ctrl + F (Windows) or Command + F (Mac) to quickly search for your chapter.

Select and Add Contacts

8. Check the box next to the Name column to select all the contacts in the list. Then, click Add and confirm your selection.

Note: Don’t forget to repeat Steps 7 and 8 to add Spouses/Partners or Gold members if your chapter is not integrated.

Add Individual Contacts

If you wish to add one or two new people, go to Invitation List and select List Members. Then, search for the contact’s name or email. Once you find it, select the box next to their name and click Add to include them in the invitation list.

Send a Test Email

9. Go to Emails and then select Event Emails. Choose the template you used to design your email, click Send, and then select Test from the filter options.

Type your name in the search field, click Select next to the name result, and then click the blue Confirm Test Send button. A notification will appear confirming that your test email has been sent successfully.

Ready to Send the Newsletter

10. From the left-hand navigation, go to emails and then select Event Emails. Choose the template you edited and click Send > Manually.
Select the names you wish to send the email to. If you want to send it to everyone, check the box next to Name and then click Send Email.

Review Email Reports

11. You can review the reports after sending your emails. From the left-hand navigation, click Reports, then click Reports again. If needed, select the Report Templates tab. In the Email category, click Sent Email Details. It may take a few minutes for your report to process.
