Cvent: How to Allow Multiple Guest Registrations

Steps to allow multiple guests like spouse/partners, key associates & YNG register for the Cvent event

Usage

The steps below explain how to ensure multiple guests can be registered for an event by one of your registrants, such as a member registering their spouse/partner and children for a family event. If you've utilized one of the Cvent templates that includes the guest option, guest registration is already enabled, and by default each member can register up to 2 guests

Steps

Navigate to the Event’s Registration Pages

1. Select Website from the left-side navigation, then choose Open Site Designer


2. Navigate to Personal Information from the top left menu

3. If this is your first time using the Site Designer, click Finished under Theme in the right-hand navigation panel.

Add the Guest Widget (if needed)

If the guest widget does not appear on your registration page, then you will need to add it

4. Click 'Build' on the right-side navigation, then drag and drop the 'Guest Registration widget' to the appropriate place on the canvas in the middle of the screen


You can also use the Search bar at the top of the Build section to find any widget you might need (including Dietary Restrictions)

Update the Guest Widget Header

5. Customize the guest widget as needed in the right-side Build menu by adjusting the font, text color and button in the Display Settings section to the right


For example, the default guest widget settings show Guest Information in white text aligned to the left side, which you need to change to blue font aligned to the center to match the other header settings and make the header visible against a white background

6. To update the font and size, click 'Customize'

7. Then click Header in the Customize settings

8. Change the Applied Style to 'Header 2', which will automatically update the Font Family, Font Weight and Font Size to match the style of the other sections’ headers

Use the back arrow next to Header to return to the main guest widget settings

Update the Number of Guests Allowed

9. Scroll down a bit on the Guest Registration settings on the right, then under the Number of Guests Allowed field, adjust the Maximum number of guests to the appropriate value for your event. For example, 10 guests will cover most situations such as a member that has up to 9 children in addition to their spouse/partner for a total of 10 guests registering with the member for a family event

NOTE: When you choose one of the event templates with the guest option enabled, the maximum number of guests that a member can register for the event is set to 2 guests. Alternatively, the default setting for the guest registration widget is 50 when you add it yourself (i.e. one member can include up to 50 guests for one event). Neither of these options will work very well for events when the member just needs to register their spouse/partner and multiple children


Allow Related Contacts

10. Scroll down a little further on the Guest Registration settings to the Advanced Settings section, then move the toggle for the Invitees can select guests from their Related contacts field to enabled (blue)

NOTE: Members are likely to bring the same guest to more than one event through the years, such a child or key associate, so it’s best to let the information previously saved to Cvent be auto filled in for faster event registrations in the future

Save and Publish Your Changes

11. Don’t forget to Save your changes at the top right of the screen. This will save your current draft of the Personal Information page but will not make the changes visible to your members


12. Next, click Publish to make the changes visible to members on your event’s website
