Usage
Ensure your data management when creating events aligns with what is needed for the chapter commitments! You can use this quick guide if you are using Cvent, Chapter Pro or another third-party platform for chapter event management.
Platform
Cvent and Chapter Management Hub
Steps
Chapters using Cvent
Cvent is YPO's preferred platform for event management.
Chapters using Cvent must complete the following so that the events count for chapter commitments:
Start the event creation process prior to 1 October.
Ensure your chapter is listed as Chapter Host or Chapter Co-Host.
Ensure event registration is in the status of Active, Closed, or Completed.
Start your Cvent event
1. Use the Meeting Request Form to start your event creation.
List chapter as Host or Co-Host
2. On the Meeting Request Form, list the primary Chapter Host and the secondary Chapter Co-Host in the fields. These are the one or two chapters that will get credit for the event in the chapter commitments.
Also add all host, co-host and invited chapters in the Chapter Sponsor field on the Meeting Request Form, which determines how those events show on YPO Connect.
Open event registration
3. Set up your event! Need guidance - check out How to set up your event!
4. Open your event registration so that your event will count towards chapter commitments. Learn how.
Not ready to collect event registrations yet?
You can open and close your event registration so that the event counts for Chapter Commitments, but members can't register yet. Then reopen the event when you are ready to collect registrations. Learn how!
Once the above items are completed, the events will count for the Chapter Commitments and show on the Chapter Management Hub for the chapter host and chapter co-host.
Chapters using Chapter Pro
1. Create your chapter events on Chapter Pro.
2. On Chapter Pro, select the option to push your events to YPO Connect.
Do this more than 3 business days prior to 1 October to account for data migration.
Contact Chapter Pro for questions on how to take them step.
Monitor your data via the Chapter Management Hub to ensure all events pushed to YPO are showing. If you note discrepancies after 48-hours notify [email protected].
Chapters using other event platforms
Chapters using other third-party platforms (not Cvent or Chapter Pro) must report their event data to YPO prior to 1 October for the chapter commitments.
Please note, this is data entry only, it will not provide an event website, display the event on YPO Connect or allow for event registration for members.
1. Enter your event data on the Chapter Management Hub prior to 1 October. Learn how.
Things to know
Only chapters listed as Chapter Host or Chapter Co-Host in Cvent and Salesforce will be credited for the event for chapter commitments.
Events must be created prior to 1 October of the current fiscal year to count.
Events sent to YPO from Chapter Pro must account for the data migration timeline which can take 48 hours to complete. YPO recommends Chapter Pro chapters complete their work 3 business days before 1 October to avoid data migration issues.
